This Privacy Policy is intended to explain how we collect, use and protect your personal information when you interact with us. 

Who we are
We are Epos Ready Ltd, known as Epos Ready.  We are a small team based in and around Nottingham and Derbyshire, and our official residence is in Sherwood. Our registered company number is: 10616470.

For the purpose of the Data Protection legislation, we are the Data Controller of your personal data. This means that we are responsible for deciding how we use your information.

What sort of personal data do we collect?
We collect the information that you give to us, for example when you schedule a meeting, give us feedback, complete a sales order or ask for a quote. That includes different things depending on what we are in contact for but most often includes your name, email address, business address and staff names. It also includes your feedback and comments when you give these.

Why do we collect this and what do we do with it?
Generally, we use the information you give us to provide you with the services you request, to provide a quote, install a piece of equipment, license a product, programme a menu, provide customer service, deliver content which we think may be of interest to you, for customer research and to send you marketing and promotional emails.

We NEVER collect or store your financial information: we most often ask that you pay us by BACS, should you send your bank information to us for instance to set up a Standing Order, we will simply send that on to your bank.

Legal basis for processing personal information
Epos Ready will always make sure we have a legal basis to collect and use your personal information. The legal basis we rely on will change depending on the type of information and the context in which we collect it. 

Our main reason for collecting and using your personal information is to perform our contract with you (i.e. to make sure you get your hardware and Software and to support that), but we may also process it where it is in our legitimate business interests to do so (for instance when we think we are doing something you would want to know about, or to improve a service, that may include newsletters, blog posts, surveys and information about new products). You can choose to no longer receive marketing communications by clicking unsubscribe from a marketing email. If you do unsubscribe to marketing communications, it may take up to 5 business days for your new preferences to take effect. 

How we protect your personal data
We password protect all electronic environments where your data is kept.

Who do we share your personal data with?
You will see when you complete surveys and use our website that you are doing this using well known third party service providers who perform functions on our behalf (for example website hosting via ‘1&1’, our online chat is provided by Tawk, conducting surveys via Survey Monkey and MailChimp who provide marketing email services).  We may also pass your information on to our software and hardware providers in the course of delivering a service to you for instance to register a product on your behalf or to organise a repair.

We may share your personal data with any service providers, sub-contractors and agents that we may appoint to perform functions on our behalf and in accordance with our instructions, including software and hardware service providers, accountancy software providers, email communication providers, IT service providers, accountants, auditors and lawyers.

Under certain circumstances we may have to disclose your personal data under applicable laws and/or regulations, for example, as part of anti-money laundering processes or protect a third party's rights, property, or safety.

We may also share your personal data in connection with, or during negotiations of, any merger, sale of assets, consolidation or restructuring, financing, or acquisition of all or a portion of our business by or into another company.

Where we hold and process your personal data
Some or all of your personal data may be stored or transferred outside of the European Union (the EU) for any reason, including for example, if our email server is located in a country outside the EU or if any of our service providers or their servers are based outside of the EU. We shall only transfer your personal data to organisations that have provided adequate safeguards in respect of your personal data.

Cookies
A cookie is a small text file containing a unique identification number that is transferred (through your browser) from a website to the hard drive of your computer. The cookie identifies your browser but will not let a website know any personal data about you, such as your name and/or address. These files are then used by websites to identify when users revisit that website.

Most browsers are initially set up to accept cookies. You can change your browser settings either to notify you when you have received a cookie, or to refuse to accept cookies. 

We also use Google Analytics to monitor how our online platforms used. Google Analytics collects information anonymously and generates reports detailing information such as the number of visits to a web page, where visitors generally came from, how long they stayed on a page, and which pages they visited. Google Analytics places several persistent cookies on your computer's hard drive. These do not collect any personal data. If you do not agree to this you can disable persistent cookies in your browser. This will prevent Google Analytics from logging your visits.

Retaining your information
We will only keep your data for as long as is necessary to provide our products and services to you and/or to fulfil our legal and regulatory obligations. 

What are your rights over your personal data?
We respect your privacy and always comply with data protection rights. 
The GDPR provides the following rights for individuals:

· The right of access
· The right to rectification
· The right to erasure
· The right to restrict processing
· The right to data portability
· The right to object
· Rights in relation to automated decision making and profiling.

If you wish to request deletion of your personal information, you can do so by contacting us using the contact details provided under “How to contact us” below. You can object to processing of your personal information or ask us to restrict processing of your personal information or to port it. Again, you can exercise these rights by contacting us using the contact details provided under “How to contact us” below. You have the right to opt-out of receiving marketing communications we send you at any time. You can exercise this right by using the unsubscribe functionality in the communication you receive. Similarly, if we collect and process your personal information on the basis of your consent, then you can withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent. You have the right to complain to a data protection supervisory authority about our collection and use of your personal information.
